Job Description

We are seeking a proactive Office Coordinator to support our clients property management team. This role is the "connective tissue" of thier operations, ensuring that tenants are satisfied, vendors are compliant, and their building data is precise. The ideal candidate is a detail-oriented problem solver who thrives in a fast-paced environment

salary: $50,000 - $52,000 per year
shift: First
work hours: 8 AM - 4 PM
education: High School

Responsibilities

Tenant & Building Relations

  • Maintenance Oversight: Manage the full lifecycle of service requests, from initial intake to final quality checks.

  • Lead Communicator: Serve as the primary point of contact for tenants regarding building updates, requests, and issue resolution.

  • Data Integrity: Maintain accurate and up-to-date tenant profiles and account information within company software.

Vendor & Contract Management

  • Contract Administration: Facilitate the bidding process, secure approvals, and oversee vendor agreements through to completion.

  • Risk Compliance: Track and renew Certificates of Insurance (COIs) to ensure all contractors meet safety and risk standards.

  • Procurement: Manage supply inventory, process orders, and reconcile invoices for accuracy.

Risk Management & Field Support

  • Claims Coordination: Document incidents and coordinate with insurance adjusters and legal counsel to monitor claim progress.

  • Site Inspections: Conduct periodic on-site visits to audit building conditions and ensure operational efficiency.

Administrative Support

  • Office Operations: Manage office tech updates, direct incoming inquiries, and handle scheduling for on-call technicians.

  • Team Collaboration: Provide flexible support to team members to ensure seamless daily operations.
